How do I create my first invoice with voice?

  1. Tap the record button and say the invoice details in one natural sentence (or a few short sentences).
  2. Include the client name and line items with clear numbers.
  3. Review the generated invoice and adjust anything that needs cleanup.
  4. Export as a PDF or share it to email, Messages, or your preferred app.

What should I say when recording?

Speak like you'd explain the invoice to a client. Aim for clear numbers and short line items.

Example script

"Invoice for Acme Landscaping. One lawn cleanup at 180 dollars, two hours of hedge trimming at 60 dollars an hour, and materials 25 dollars. Net 14 days."

Voice accuracy

How accurate is voice invoicing?

It's designed to be fast and reliable, but you should always review the invoice before sending. The most common mistakes are minor: a number recognized incorrectly, a unit missed, or a line item description that needs tightening.

How do I improve results?

  • Say numbers clearly: "one hundred eighty" instead of "one eighty."
  • Separate line items with short pauses.
  • Use simple units: "hours," "each," "flat fee," "materials."
  • Double-check totals before exporting.

Editing

Can I edit the invoice after it's generated?

Yes. Voice Invoice gets you to a clean first draft quickly, then you can refine details like descriptions, quantities, prices, and client info before you export.

Can I add my company branding?

You can customize invoice appearance from Settings. Premium includes advanced customization like adding your company logo and choosing from 10+ premium PDF templates.

PDF export & sharing

How do I export or share a PDF?

After generating and reviewing an invoice, export it as a PDF and share it using iOS Share Sheet (Mail, Messages, Files, Drive, and more).

Do you send the invoice to my client for me?

Voice Invoice generates the PDF and lets you share it with your preferred method. You stay in control of how you deliver invoices.

Tax, discounts, and totals

How do tax and totals work?

Voice Invoice uses your tax settings to calculate totals. Set default tax rates in Settings (for example, products vs services), then review the calculated breakdown before sending.

Can I include discounts or credits?

Yes. You can include discounts or credits as negative line items, then confirm the final subtotal, tax, and total match your intent.

Does the app support different currencies?

USD is the default currency. You can edit an invoice and change the currency before exporting.

Plans & billing

What's included in the free tier vs paid plans?

The free tier is great for trying the workflow, and Premium unlocks higher limits and extra features.

  • Premium: Unlimited invoice generation (fair use) plus many premium features.

How do I cancel or manage my subscription?

Subscriptions are managed through Apple. On your iPhone: Settings → your Apple ID → Subscriptions.

How do I restore purchases?

If you reinstalled the app or changed devices, use "Restore Purchases" in the app's subscription settings (or confirm your Apple subscription is active).

Privacy & data

Do you store my invoices?

Invoices you generate are stored locally on your device. You can export or share them, but the app doesn't require an account and doesn't upload your invoices to a personal cloud account by default.

Do you store my voice recordings?

Your recording is sent over an encrypted connection to generate structured invoice data. The app is designed so we don't store your voice recordings on our servers.

Troubleshooting

What should I do if the invoice looks wrong?

  1. Edit the line items and totals directly to match what you intended.
  2. Try recording again with shorter phrases and clearer numbers.
  3. Confirm your tax settings in the app before exporting.

The app can't access the microphone. How do I fix it?

Open iOS Settings → Voice Invoice → enable Microphone. Then return to the app and try again.

I'm offline. Can I still create invoices?

Yes. You can record an invoice while offline and queue it for processing. When your device regains internet access, Voice Invoice will send the queued recording for processing so you can keep working even with spotty connectivity.
